Responsibilities:
  • Provide administrative support to the Technical Director and other Technical Support Functions,e.g. HR,MSD,OP,SHE.
  • Manage the calendar, travel, bookings of the Technical Director
  • Performs P2P roles to ensure payments to Technical Division suppliers; Coordinates key meetings and events which involves Technical Director, Technical HRBP, OP Head, Corp SHE Head, MSD Head.
  • Coordinates planned Technical Division Key Meetings
  • Prepares Purchase Requisition (PR).
  • Ensures that Purchase Requisition prepared are assigned to contracted or accredited vendors, if not forward all requirements to Purchasing Department to source out possible suppliers that can provide services as requested.
  • Checks all expenses charged to Sponsorships account. Ensures that all prepared Purchase Requisition have corresponding Purchase Order number from Corporate Purchasing.
  • Forwards directly to Purchase Order creator all documents for booking request on plane tickets and car services not requiring PR request.
  • Ensures that all invoices/delivery receipts are correct and with complete attachments and approval of the requestor before processing.
  • Assists all sections of the department on status of their suppliers’ invoices /delivery receipt if needed.

Requirements:
  • At least 5 years experience in providing Admin support to a CEO/ Head of a Company/similar roles
  • Interpersonal skills
  • SAP skills
  • Planning and organizing
  • Communication skills
